Step-by-step

From inquiry to placement

We believe families deserve full transparency — not just a promise of “vetted candidates.” Here’s exactly how we work, and what we verify before a nanny ever meets your family.

1) Share your needs

We start with a brief intake and a one-on-one call to learn your schedule, your children’s ages, household expectations, and what a truly great fit looks like for your family. No generic forms — just a real conversation.

2) Multi-layer background verification

Before any candidate is considered for matching, every nanny clears a full 5-point background check:

  • Criminal background check
  • Sex offender registry search
  • Motor vehicle record (MVR)
  • DCFS Child Abuse & Neglect registry (Illinois)
  • Social Security trace & identity verification

We also verify every certification and degree they’ve listed — CPR, First Aid, Early Childhood Education, and more. If they claimed it, we confirm it.

3) Curated candidate matching

Only candidates who’ve cleared every verification are considered for your family. We then handpick a shortlist based on experience, values, and lifestyle alignment — so you’re not sorting through endless profiles.

4) Interviews & trial support

Once a candidate is shortlisted, we conduct thorough reference checks on your behalf — speaking directly with past employers to verify experience, reliability, and character. We then coordinate and guide the interview process, help you evaluate fit, and support next steps — whether that’s a working interview or a trial day. And if you’d like to speak with a reference yourself, we encourage it. We’ll provide the contact and support that conversation however you need.

5) Offer, onboarding & ongoing support

We support the offer stage, help set clear expectations, and stay available long after placement. As your family’s needs evolve, we’re here — proactive check-ins included.

FAQs

Quick answers to common questions from families and caregivers.

What does “vetted” mean at Velvet Village Nannies?

We screen for professionalism and reliability through application review, interviews, reference checks, and identity/background verification steps appropriate to the role. We’ll also discuss safety, communication, and expectations so everyone starts aligned.

How long does the process take?

Timing depends on your schedule, role type, and availability. After intake, we move quickly with curated introductions—while keeping screening and fit as the priority.

Do you help if we already found a nanny candidate?

Yes. Our Independent Hire Screening Package provides professional vetting and guidance for the candidate you’ve already identified.

What support do you provide after placement?

You’ll have access to ongoing consulting, including proactive check-ins and guidance for transitions, communication, and evolving needs—supporting both families and nannies.

What happens if the placement doesn’t work out?

Our placement guarantee includes monthly check-ins for the first 3 months, a 6-month check-in, and ongoing availability for guidance. If a nanny leaves, a new placement begins immediately; in extreme situations within the first 6 months, a pro-rated refund of the placement fee may apply.

Do you place temporary or emergency care?

Temporary and emergency coverage may be available depending on timing and caregiver availability. Contact us with your dates and needs and we’ll advise on next steps.
